Conference Services
Tours of the university and its facilities are available Wednesdays and Thursdays, 10 a.m. - 4 p.m. Due to the fact that facilities are at capacity during the academic year, tours may not include actual residential rooms but will include a tour of the facilities and a model apartment.
Three weeks prior to arrival, an Excel spreadsheet will be sent via email with the room blocks for the group. Complete the assignments and return the spreadsheet to Conference Services no later than the roster due date stated on the contract.
All rooms are wired for high speed internet. A computer with an Ethernet port is required in order to successfully connect online. Ethernet cords are available at the front desk. All community lounges on each floor are equipped with Wi-Fi access.
All university residences, apartments, meeting rooms and common areas are nonsmoking. There are designated areas for smoking outside the buildings.
Residences are designed as shared facilities. Many of the residence halls adjoin another building or an apartment complex. Therefore, it is not possible for a group to have exclusive use of a building unless the group manages to fill a building to capacity. With the exception of rooms with private or suite baths, floors are generally segregated by group.
The occupancy of a room may not exceed the capacity of that particular room. Exceptions are made only for parents with small children age five years or under. In those cases, please be advised that additional furniture is not provided.
Summer conference participants who are also Georgia State University students with fall housing assignments are allowed to stay in their conference housing until their fall assignment is ready.
Parking for buses is available at a rate of $75 per day or $450 per week. Prior arrangements must be made at least two weeks prior to arrival.

Conference Services will begin processing applications and contract requests for the subsequent summer the first Monday of November each year.
Cancellation requests must be in writing, and the effective date is the date of the postmark or email date stamp.
Cancellation fees for interns are a forfeiture of the $200 deposit. Early move outs will result in a forfeiture of the current month’s rent. Subsequent months will incur a 10 percent fee of the monthly rent. Cancellation fees for groups are as follows:
- Cancellation requests received more than 45 days from the date of the first scheduled check in will incur a fee of 35 percent of all estimated charges on the contract.
- Cancellation requests received less than 45 days from the date of the first scheduled check in will incur an additional 15 percent fee of all estimated charges on the contract (for a total fee of 50 percent).
For interns, a $200 deposit is required that goes toward the first month’s rent. The balance is due upon check in. Groups have two deposit options:
- Option 1: No deposit required up front, but payment of all estimated charges on contract is due in full upon check in. Any subsequent charges incurred during the stay will be invoiced. Payment for invoiced charges is due in full within 30 days of the invoice date.
- Option 2: A 35 percent deposit of all estimated charges on the contract is due with the return of the contract, and the balance and any subsequent charges incurred during the stay will be invoiced and is due within 30 days of the invoice date.
If the conference requires individual reservations, full payment will be required by participants upon completion of their reservation.
Yes. However, the number of rooms available is limited. Room capacities range from an eight person executive office to a 300 person auditorium. Some rooms have flexible seating arrangements. Reservation fees are based on four-hour blocks of time and range from $40 to $150 per block.
All catered dining inside the residence halls and meeting rooms must be arranged through Conference Services and will incur a service charge.
All rooms and apartments are cleaned prior to arrival. Daily housekeeping service is not provided. However, cleaning kits and a vacuum cleaner are available at the front desk for a nominal rental fee.
In order to keep rates low, bed linen is not changed daily. However, those staying more than seven days may exchange their bed linen at a centralized location weekly. Also, towels may be exchanged daily at the front desks.
Groups have the option of no linen service or linen service provided for the entire group at an extra fee.
If individual reservations are required, full payment of accommodations by participants will be required upon completion of their reservation or during check in at the conference desk. This agreement is pre-determined between the conference coordinator and the group’s sponsor.
University Housing Conference Services can only guarantee summer conference housing after the contract and deposit have been submitted.
